Flexible overview of documents /management, archiving, recording/

Using of DMS Greeny provides customers with overview of the corporate documents. Customers can archive and record documents for period of several decades.

DMS Greeny application is useful during the audit; the company can provide a repository of requested documents to be viewed by an auditor. Then, the auditor does not have to be physically present in the company and thereby the costs on audit are reduced while the auditor views only restricted documents and the company employees can continue their working routine.

Fulltext Search

The application DMS Greeny allows the user to search for particular documents/records according to 1 and more criteria. DMS Greeny will find any documents, e.g. a contract and its amendments, an invoice and its appendices. It will also show all documents related to the retrieval of the record and designation of the archive in which the physical document is located. The user can search for a contract and the search result shows not only the contract itself but also its amendments or appendices and attachments.

Integration with MS Windows and MS Office

The application DMS Greeny is integrated with MS Windows and MS Office. The user can work with documents in DMS Greeny in a very similar manner as if they were on the local computer. The documents can be viewed and modified right through MS Office package (Word, Excel...) or through MS Explorer.

Document Access Setting for Individual Users or Groups

The customer can decide on the number of users authorised to access the application and the kind of permissions will an individual user be assigned. It is also possible to classify users into groups with pre-set access rights.

Digitization /multiple document scanning including OCR – automatic text recognition/

Digitization of records is an application designed to process documents in their paper form and their automatic transformation into digitized form. A part of this functionality is also a controlled data extraction from digitized documents through OCR (automatic text recognition) according to the pre-defined profiles. Setting-up the Workflow /approval and escalation processes/

One of the significant processes of DMS Greeny is the setting option of approval and escalation processes. This functionality significantly simplifies approval processes of holidays, invoices and many other documents. In the companies, it is quite common that employees are not at working site due to the business trip, sick leave or other reasons and so the approval process may take even several days. DMS Greeny shows to the authorized person the documents waiting for his approval and in addition, the person can delegate his decision or escalate it to higher level. Any such document status change may be accompanied by automatic user notification. Even in time of his absence, the authorized person can ensure a smooth document circulation through the Internet connection.

After activating the service, DMS Greeny is upgraded to new versions for each customer free of charge.

Automatic Document Back-up
